Donation and Appearance Requests

Requests for Charitable Tickets

Each year, the Chattanooga Athletics department is asked to support many worthwhile causes and events. Every effort is made to accommodate these requests. However, due to the number of requests which we receive, this is not always possible. The following policies must be followed when submitting a request for the donation of tickets:

1. Each organization submitting a request must complete a Donation Request Form and submit it to the Chattanooga Athletics Department for review by the Office of Compliance.

2. If the organization submitting the request is considered a non-profit, then this organization must include a statement supporting their 501 c 3 status along with their donation request form.

3. All donation requests must be submitted in full no later than two (2) weeks prior to the event for which the item(s) are to be used. 

Requests are limited to one (1) per organization, per fiscal year (July 1-June 30).

Once a donation request has been received, the request will by the Office of Compliance. Upon review, the contact for the organization listed on the form will be notified as to the status of the request.

Due to the number of requests received, submitting a request for a donation does not guarantee that your request will be approved, even if all guidelines are met. Upon completion of the review process, you will be contacted by an athletics representative as to the status of your request.

Requests for Posters & Schedule Cards
Team posters and schedule cards are developed by the Chattanooga Athletics Department prior to the beginning of each season for all sports. These items are available to all fans free of charge, while supplies last, upon entering the gates of home contests. These items are also available inside the Chattanooga Athletics Department.

Requests for Autographs
The Chattanooga Athletics Department coordinates various opportunities for autograph nights at men's and women's basketball, soccer, volleyball, wrestling and softball. These scheduled events are the only officially-sanctioned opportunities for autographs. These events will be announced in advance on GoMocs.com.

If your organization is requesting an autographed item such as a football or basketball, you must provide the item to be autographed if your request is approved. Due to the quantity of requests received, the Chattanooga Athletics Department cannot supply these items.

Requests for Appearances
Appearances made by UTC Coaches, Staff, Spirit Team Members (Cheer/Sugar Mocs) and Scrappy are regulated by the Chattanooga Athletics Office of Compliance in coordination with the Director of Athletics. Sensitivity is given to the practice, competition, and training schedules. In addition, coaches and staff members are prohibited from appearing in commercials and promotional activities unless approved by the Director of Athletics.

Please take a moment to review the appearance fees located below. All fee payments must be received IN FULL a minimum of 1 week prior to all appearances. Appearances are NOT considered confirmed until the payment is received.

If an appearance request is approved and is more than 20 miles from campus (using 720 E. 4th Street, Chattanooga, TN 37403 as the departure point) a mileage fee of $0.50 cents per mile for the entire round trip will be added to the fee. This mileage fee will be added to the invoice which includes the appearance fee.

All payments should be made via check and mailed to the Chattanooga Mocs Athletics Department at the address noted on the invoice. There are no refunds for cancellations made by the requestor when less than 48-hours from the event.

If applicable, all parking fees must be covered for the event or free parking spots provided.

Scrappy appearances must include a private changing room/area away from guests, and a place where he can store his belongings safely. Scrappy will arrive no later than 15-minutes prior to the start time in order to get changed into costume. Please note that outdoor events may require that Scrappy take a 10-minute break every 30 minutes.

If alcohol is being served at the event for which an appearance is being requested, the UTC representative must be stationed away from the area where it is being served. Also, please note that if guests become rowdy or inappropriate, the UTC representative has been instructed to leave immediately, and no refund will be provided.

To avoid conflict with existing University contracts and commitments, the requesting entity must agree to take all necessary steps to ensure that the coach, staff member, spirit member, Scrappy and the University do not appear to directly support, endorse, or sponsor the event organizer or any of its direct partners, unless prior approval has been granted by the Chattanooga Athletics Department and Mocs Sports Properties, the multimedia rights holder for our department.

When requesting Spirit Team members, the requesting entity can expect between two and four team members to attend, if the request is approved. Special considerations may be possible for larger events. Events requested during weekdays while Spirit Team members are in class are likely to not be granted due to limited availability and their priority as a student first.

Events requested during final exams will not be granted - no exceptions. Also, events requested during major holidays (i.e. Christmas, New Year's Eve, 4th of July, Labor Day, etc.) or when the University is not in session may not be granted, depending on availability.

Preference is given first and foremost to home athletic events, and availability will be strictly limited during those times. Please keep this in mind when requesting an appearance and consult first with the schedules of teams that are in their competition season.

Appearance Types and Fees
There are two fee options that an organization may pursue when requesting UTC Coaches, Staff, Spirit Team Members (Cheer/Sugar Mocs) and/or Scrappy to appear at a promotional event. Fees are per group being requested on the form. For example, if only Cheer/Sugar Mocs are selected then only one fee will be required. However, if Cheer/Sugar Mocs is requested AND Scrappy is requested, the fee associated with each group will be required should both requests be approved.


Appearance Fee Option #1 - Mocs Club Donation
UTC Coach - $100, plus $.50 per mile if outside of a 20-mile radius from campus
Cheer/Sugar Mocs - $100 per hour for up to 4 team members; each visit includes chants, cheers and photo opportunities, plus $.50 per mile if outside of a 20-mile radius from campus
Scrappy Mascot - $100 per hour; each visit includes photo opportunities, plus $.50 per mile if outside of a 20-mile radius from campus

Appearance Fee Option #2 - Group Ticket Purchase*
Minimum of 25 tickets must be purchased for a regular-season home contest by the organization/individual submitting the appearance request. The group rate discount will be extended to each purchase. Rate varies per sport selected. In addition, a $.50 per mile charge will be the responsibility of the organization/individual requesting if the speaking location is outside of a 20-mile radius from campus.

Request to Waive Fee
When submitting an opportunity for community service, please select the "Request to Waive Fee" option on the form. 

*Please note: Option #2 is not available for Cheer/Sugar Mocs/Scrappy Requests.

Submit an Appearance Request
To submit an appearance request, please complete the Appearance Request Form found here and submit it to the Chattanooga Athletics Department for review by the Office of Compliance.
